Club Event: Annual General Meeting 2013

The French Club AGM for 2013 is mere days away! Would you like to nominate yourself for a position on our Committee? Oui? C’est génial! Click “read more” to get an idea of each position. No need to prepare anything too special for the night, just be your awesome self and give us a little spiel about why you’d like to be involved.

Remember, we also have “General Committee Member” positions up for grabs, which allows you to be part of the team, without having the handle a specific portfolio, as it were. We are happy to have several of these, so please come along and nominate yourself!

Got some incredible ideas for the French Club bubbling away? The AGM is the perfect time to bring them to our attention! We have slated some time for collective ideas storming, so please come along and join the storm!

Proceedings will be fairly informal, and mostly concerned with the eating of cheese and the drinking of wine. So come along, be part of things and have a lovely evening with the lovely people running your La Trobe University French Club!

Why? To elect a new committee and brainstorm ideas for our glorious club.

President

As President you will be expected to lead the main policy agenda for the French Club through consultation with the French Club Committee, its members, the French Program and the University.

This role will entail:

  • The overseeing of all French Club activities and co-ordination between respective committee positions. Consequently, this will require you to be open-minded and be able to work with a wide variety of people in order to further promote the agenda of the Club. As such the President will endeavour to make decisions and carry out the role in a consensus-minded approach
  • Promoting and upholding the open, inclusive and democratic nature of the Club, in accordance with its Constitution.
  • Being the public face of the French Club, especially when liasing with external organizations/institutions (outside the University) such as the Alliance Française and French Clubs of other universities.
Accordingly, this role requires excellent communication, teamwork and interpersonal skills. The President should also have a good command of both English and French. Any other relevant skills, such as public speaking or previous experience within Clubs & Societies, will be highly valued in this role.

Vice-president

The Vice-President will assist the President in their role and step in, as Acting-President, in case of absence.

This position will entail:

  • Assisting other Committee members with their positions, depending on workloads, especially in the lead up to French Club events.
  • Attending University Clubs & Societies meetings (can be done on rotation with President or other Committee members)
  • Liasing with external organizations/institutions (outside the University) such as the Alliance Française and French Clubs of other universities.
Similar to the position of President, this role requires excellent communication, teamwork and interpersonal skills. Holders of this position should have a good command of both English and French, although this criterion is not mandatory. Any other relevant skills, such as public speaking or previous experience within Clubs & Societies will be considered an added bonus.

Events/media/publications

This position is arguably the most important on the French Club Committee. The ability of the Club to organise and execute compelling events, meanwhile connecting with and galvanising its members and the wider student body, is pivotal to its survival.

Such events could include:

  • A French ball
  • Restaurant/film nights
  • Wine & cheese nights/tastings
  • Stalls in the Agora
  • In-house movie screenings
  • Or anything else you can come up with!
Also, the position will entail:

  • The promotion and advertisement of upcoming events of the Club. This will involve promoting events in lectures and tutorials, making posters to put up around the University as well as maintaining the online presence of the Club on Facebook and other social/general media. The Vice-President and other Committee members will assist you here.
This role requires excellent communication, teamwork and interpersonal skills. Holders of this position should have a good command of both English and French, although this criterion is not mandatory. Any other relevant skills, such as public speaking or previous experience within Clubs & Societies will be considered an added bonus.

Secretary

The position of Secretary requires the person to provide utmost organisational support.

The Secretary is responsible for duties including:-

  • Maintaining records of the Club and ensures effective management of any and all records
  • Taking minutes at every meeting
  • Ensures minutes are drafted and distributed before making the relevant amendments and redistributing the final record of each meeting
  • Assist in drafting letters
  • Filing and file management
  •  Liaising with other organisations, clubs and societies
This role requires excellent communication, teamwork and interpersonal skills. Any other relevant skills, such as previous experience within Clubs & Societies will be considered an added bonus.

Treasurer

The position of Treasurer requires the person to maintain and document all financial matters. The Treasurer is responsible for setting the annual Club budget and keeping track of the clubs expenses by:-

  • Filing receipts
  • Administrates all fiscal matters of the Club
  • Provides budget to the committee and each of the portfolios
  • Ensures development and review of policies and procedures
This role requires excellent management skills and working closely with other committee members in relation to when and where funds need be made accessible and what the limits may be. Any previous experience within Clubs & Societies will be considered an added bonus.
